About the Role
The Operations Support Executive will ensure smooth operation of all administrative and office functions to drive efficiency and service to clients by implementing procedures, maintaining administrative systems, and assisting all divisions with operational tasks.
This employee will organize and coordinate administration duties and office procedures to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.
The Operations Support Executive will also serve as the main point of contact for diary management, office maintenance, mailing, supplies, equipment, client inquiries, and invoicing. Duties entrusted to this employee will also include greeting visitors and maintaining client relations in person, via telephone, or email.
In addition to assisting with the onboarding process for new hires, the Operations Support Executive will liaise with facility management vendors, including cleaning, catering, and security services.
Lastly, this employee will plan in-house or off-site activities, such as networking events, trade events, and appearances of executives at conferences and events.
Requirements
Proven experience as an executive assistant, office manager, or in a similar role.
Knowledge of typical administrative support duties, systems, and procedures. Proficiency in MS office will be required, as well as hands-on experience with office machines and familiarity with email scheduling tools and digital conference software.
Excellent time management skills and the ability to multitask and prioritize work, high attention to detail and problem-solving skills, in addition to strong organizational and planning skills and a creative mind with an ability to recognize and suggest improvements.
Educated to high-school degree level as a minimum.
